Job Summary:

Greater Nashua Mental Health (GNMH) is looking for a full-time Medical Administrative Assistant to join our team! The Medical Administrative Assistant manages incoming phone calls, conveys messages to appropriate medical staff and sets up medical providers' schedules using the Just in Time Scheduling system.  The Medical Administrative Assistant ensures that relevant medical documents are available to medical providers in order to facilitate patient visits.  Additionally, the Medical Administrative Assistant provides administrative support to the medical staff.

Duties & Responsibilities:

• Schedules client visits, and coordinates patient access to medical services from the different programs, ensuring that patients are scheduled within 7 days of post-hospital discharge.
• Manages appointment cancellations as directed by Medical Support Staff Coordinator and applies principles of the Just in Time scheduling system.
• Manages incoming phone calls, and documents and conveys messages to appropriate medical or nursing staff, and ensures that voicemails are reviewed and triaged on a daily basis.
• Coordinates document flows, including but not limited to, responses to patients' requests for document completion and obtaining laboratory results or documents from providers.
• Provides administrative support to medical and nursing staff, including processing incoming and interdepartmental mail and maintaining office supplies.
• Performs other duties or special projects as required or as assigned by the Medical Support Staff Coordinator.

Qualifications:

• High School Diploma or GED equivalent.
• Bilingual/fluency in Spanish is a plus!
• Proficient in electronic medical records (EMR) systems.
• Knowledge of Microsoft Office products (Email, Word, EXCEL).
• Strong customer service skills and ability to de-escalate situations related to potential client dissatisfaction.
• Comfortable in a fast-paced environment with frequent deadlines; high energy, self-motivated and proactive.
