Lead Facilities & Front Desk Operations Coordinator

Position Summary: Responsible for being the lead on hiring vendors for all inside and outside building repairs, scheduling yearly maintenance and bringing vendors into the building for necessary repairs. Responsible for ordering all office supplies and the receiving and distribution of supplies including bathroom and kitchen areas.

Front Desk Coordinator position will be responsible for overseeing all front desk operations including: supporting all front desk functions, process incoming and outgoing mail as needed, provide backup coverage for phones and the front desk and administrative support as needed.

Requirements:

Qualifications, Education and Experience:

  • Associates Degree preferred, or equivalent combination of education and or experience in an office environment.
  • Good organizational/time management, problem solving skills.
  • Must be flexible, efficient, accurate, dependable, and able to prioritize work.
  • Ability to communicate effectively and Customer Service Focused
  • Able to work as part of interdepartmental and interagency teams.
  • Communicate constructively to management and staff on problems, ideas, or any other insights to assist in defining new best operational practices.
  • Proficient in Microsoft Windows environment including solid working knowledge of Word, Excel, Outlook
  • Possess reliable transportation, valid drivers’ license, and applicable vehicle insurance for business travel.
Responsibilities:

Facilities Coordinator 

  • Responsible for working with vendors to perform maintenance and repairs at the Canal Street Facility including heating systems, air conditioning units, fire alarms, electrical, plumbing, outside of building etc. Hiring snow removal vendor and monitoring salting of property. Duties also include yearly landscape contracts for 5 external properties.
  • Receive all maintenance tickets and schedule work to be done as needed.
  • Work with outside vendors to ensure contracts/quotes are written timely and repairs are done as needed.
  • Monitoring the supplies inventory and ordering all office supplies and paper products. Receiving all shipments as they come in and distributing as needed.
  • Responsible for replenishing bathroom and kitchen supplies.
  • Involvement with logistics of office moves and hiring movers.
  • Training room set up for meetings.
  • Scheduling carpet cleaning and painting.
  • Join Safety Committee, attend monthly meetings and be responsible for any action items requested by the Committee.

 

Front Desk Operations Supervisor

  • Responsible for working with receptionist on all front desk related issues.
  • Provide training to front desk support staff.
  • Coverage for receptionist on breaks and days off.
  • Back up for all incoming and outgoing mail duties.
  • Admin duties for various departments as needed.
  • Other duties as assigned

Salary Range:

non exempt , hourly rate range $17.31 to $19.00
