Office Administrators, also known as Office Managers, are responsible for general administration tasks within an office environment. This position will play a primary role in ensuring that all office administrative functions are coordinated to achieve a high level of productivity within the organization. As a recovery community organization, this position is key to cultivating a welcoming, supportive, and judgment free environment for anyone seeking support regarding their own or a loved one’s substance use. *This position is not meant for an individual seeking the 500 hours of experience to become a Certified Recovery Support Worker.

Requirements:
  • Friendly, positive, and welcoming attitude.
  • Well organized, good at multitasking and time-management skills, with the ability to prioritize tasks.
  • Excellent communication skills.
  • Proficient in / quick to learn a variety of computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint), Recovery Link (recovery community organization database), and Unite Us (web based referral platform).
  • Comfortable handling confidential information.
  • Training / Education: prior to starting the position, or within 3 months of starting, we require 12hrs of ethics, 6hrs suicide prevention, 3 hrs co-occurring SUD and mental health, and 6hrs on SUD and recovery / CRSW performance domains.
Responsibilities:
  • Opening and closing the center, Monday through Friday 9am-5pm, including: putting out / taking in any signage, turning lights on / off, turning air purifiers on / off, ensuring all computers are shut down properly, opening / closing windows, making sure doors are unlocked / locked, etc.
  • Welcoming visitors, assisting participants with COVID protocol and/or intake paperwork, and directing them to the relevant personnel.
  • Carrying out clerical duties such as answering phone calls, responding to general office emails, scheduling participants, and making appointment reminder phone calls.
  • Manage general office correspondence (e-mail, mail, packages etc.).
  • Organizing files for participant records, Medicaid billing (experience with coding and billing not required), and treatment, housing, and benefits intake packets / applications, etc.
  • Coordinate / plan office activities, events, and publications to promote community engagement, substance use disorder awareness, stigma reduction, and assisting the Executive Director and Board with fundraising events.
  • Support Executive Director as needed with budgeting and bookkeeping procedures.
  • Track stocks of office supplies and place orders when necessary.
  • Overseeing the maintenance of office facilities, including HVAC system, fire extinguishers, plowing & lawn mowing, etc.
  • Assist colleagues whenever necessary.
