Description

The Maine Association of Nonprofits (MANP) is looking for a full-time Program Coordinator to support the work of the MANP Team, with an emphasis on coordinating in-person and virtual event logistics and technology. The MANP Team develops an extensive annual calendar of learning events in collaboration with a network of national partners, speakers, trainers, facilitators and volunteers.



Responsibilities of this Role



The Program Coordinator will have the following specific responsibilities with the direction and support of the Director of Education and in the context of a collaborative (and fun!) staff.



Project management support

  • Maintain internal shared calendars and project management systems to track tasks and roles for events and other projects.
  • Create event listings and manage event registration processes and questions.
  • Support lead staff members in researching, recruiting and scheduling presenters, facilitators and volunteers.
  • Research and schedule venues, catering and other contractors for in-person events.
  • Nurture key learning partnerships as directed.
  • Proactively communicate with presenters/facilitators, event participants, other guests and vendor contacts to provide reminders and address anticipated needs.
  • Coordinate with administrative and marketing staff to order or prepare program materials, including name tags, handouts, MANP promotional materials for display, PowerPoints, etc.
  • Prepare and pack for in-person events, lead on-site setup and logistics, and serve as primary point of contact with venues and vendors.
  • Schedule, coordinate and provide technical support for virtual events.
  • Serve as host or moderator for virtual and in-person events, when needed.
  • Implement evaluation plan to collect and maintain data, and produce evaluation summaries to ensure that all events are assessed for effectiveness and continuous improvement.
  • Support project leads to collect and submit invoices and track event revenue and expenses.

Technology and data management

  • Support maintenance of event records including a schedule of all events across the organization, attendance, evaluation, and financial reporting.
  • Maintain, update and provide support to other staff in using technology, equipment and software for events.

Contribute to a strong organization

  • Keep staff informed of registration trends and event feedback.
  • Bring ideas and observations from events back to contribute to our ongoing effort to understand and support nonprofits in Maine and improve the events we offer.
  • Alongside all staff and board, bring questions, reflections, and ideas to support MANP's ongoing learning and commitment to advancing equity at our organization and in the nonprofit sector.
  • Participate in organizational development of vision, values, and workplans.
  • Contribute to the visibility of the organization by representing MANP at events, as directed.
  • Promote MANP membership.

General customer service and administrative support

  • Answer, direct phone calls and provide helpful customer service for learning program participants, presenters, partners, and funders in Maine and across the country.
  • Other administrative duties as assigned, including responding to communications in a shared mailbox.

Qualifications

  • Commitment to MANP’s mission
  • 2+ years relevant professional experience. Direct experience and knowledge of planning and managing educational events specifically, both in-person and virtually, is preferred.
  • Excellent organizational and project management skills, including the ability to prioritize and manage multiple deadlines independent of direct supervision.
  • Experience working in a collaborative, dynamic team setting.
  • Strong written and interpersonal communication skills, including the ability to use courtesy and discretion in addressing the needs of multiple internal and external stakeholders simultaneously.
  • Ability to bring flexibility and creativity to planning and problem-solving and take initiative to propose and implement improvements.
  • Experience working with people from diverse ethnic, socioeconomic and cultural communities, as well as a demonstrated commitment to diversity, equity and inclusion.
  • Proficient computer/web-based software skills, including Microsoft Office, Google Apps, CRM databases, and Zoom, and an enthusiasm for learning and using new technology.
  • Valid insurance and driver’s license, and willingness to travel throughout Maine.
  • Event setup can involve moving tables and chairs and some moderate lifting (up to 25 pounds) on an occasional basis (accommodation may be possible).

Compensation



The starting wage for this non-exempt position is $22.00 - $23.00 depending on years of experience with a comprehensive benefits package, including:
