ORIS’s Board of Directors and staff are majority new Americans, representing eight countries and fluent in thirteen languages.  The power of ORIS lies in its cultural understanding, linguistic expertise and first-hand knowledge of the immigrant experience. ORIS’s programs include: linguistically and culturally appropriate bridging case management and employment assistance; youth leadership and career development programming; services for survivors of domestic violence and sexual assault; its Fresh Start Farms incubator farming project; and food access for low-income families and individuals.

Job Summary:

The Human Resources & Finance Coordinator will serve a critical role for ORIS as the organization expands its services and footprint. This new position at ORIS will report to ORIS’s Associate Director and support the Executive team with carrying out critical human resource and finance functions. The Coordinator will be positioned to research and develop creative solutions for maintaining effective and efficient operations across all programs and staff. This role is ideal for someone looking to build a career in nonprofit management or operations, who takes initiative, works independently and efficiently, and is interested in growing with the organization.  

 

Responsibilities:

Human Resources

  • Collect timesheets from all staff for each pay period to prepare for payroll processing; enter timesheet data to tracking sheet for analysis; maintain timesheet records as required by law
  • Coordinate hiring processes with the supervisors for vacant roles, including job posting to relevant websites/organizations/email lists; screening resumes for supervisors; scheduling interviews and reference checks
  • Coordinate on-boarding for new staff, including scheduling orientation meetings with other staff, preparing new hire documentation, conducting background & drivers checks as needed
  • Ensuring new staff have the supplies, equipment, and tools needed to be successful in their roles, including creating “how-to” documentation
  • Coordinate off-boarding for staff leaving the organization, including exit interviews, collection of ORIS property, and transferring records/documents from their work appropriately.
  • Conduct ongoing training for staff on employee and programmatic policies as relevant; create training and policy review schedule, ensuring appropriate documentation of training completed.
  • Manage staff benefits, including PTO balances and usage, coordinating with vendors regarding health insurance, paid leave plans, and other benefits, and pursuing additional benefits under the instruction of Executive Team, such as retirement plans
  • Research and present options for staff benefits for both current benefits and potential new benefits.
  • Coordinate ORIS all-staff meetings, including quarterly in person gatherings
  • Serve as a point of contact for all staff about employee policies, benefits, payroll, and other related human resource topics, including collecting staff feedback and relaying to management confidentially.

 

Finance

  • Conduct basic data entry in Quickbooks Online, ORIS’s system of record, such as invoices and receipts
  • Serve as a point of contact for staff on credit card usage, and other purchase accounts, such as Amazon, Home Depot, and others as needed.
  • Collect and review staff mileage and reimbursement requests prior to submitting for processing by finance team. 
  • File hard and electronic copies of financial documentation appropriately
  • Manage new and current vendors by collecting needed information about services and products, costs, timing, etc.
  • Coordinate SNAP/EBT invoicing and payment data reconciliation with staff to ensure accurate recording
  • Assist with monthly credit card and bank reconciliations, and with the preparation of financial statements
  • Prepare and format monthly financial reports from Quickbooks Online.
  • Prepare and send donor thank you letters and recognitions as donations are received.
  • Manage office mail, including outgoing and incoming mail.
  • Manage Manchester office supplies, including monitoring budget for ongoing office needs.
  • Other duties as assigned

 

Desired Skills and Qualifications:

  • 2-3 years’ experience in non-profit operations, with a preference for experience in human resources or bookkeeping
  • Highly organized and detail-oriented with ability to be self-directed and motivated, and to securely manage confidential information
  • Inquisitive and creative problem-solver; ability to design and maintain systems around staff members’ needs as much operational requirements
  • Excellent written and verbal communication skills; able to communicate effectively and respectfully with clients with varying beliefs, behaviors, orientations, identities, and cultural backgrounds
  • Experience across multiple languages and cultures, particularly with refugees or immigrant populations with diverse cultural and socioeconomic backgrounds;
  • Friendly, calm, and professional demeanor for in-person and virtual interactions with staff and external vendors
  • Proficiency in a language spoken by ORIS’s new American clients (e.g. Somali, Swahili, Lingala, Kinyarwanda, Kirundi, Maay Maay, Pashto, Dari) is preferred.

Physical Requirements: The ability to sit and work in an office setting for extended periods of time is required to execute job responsibilities.
