Position Description

Title: Administrative Coordinator

Reports to: President

Updated: March 2023

Classification: Salaried Nonexempt Position

 

Position Summary:

Serve as a professional, respectful, and committed representative of the Endowment for Health.  The core responsibilities for this position are to serve as staff liaison to the Board of Directors, and to coordinate office administration functions and event /meetings. Work with Endowment staff, management, Board, Advisory Council and New Hampshire’s health related nonprofits and communities as necessary to fulfill the Endowment’s mission. 

Responsibilities:

  • Serve as liaison to the public by facilitating requests for information and greeting guests
  • Serve as liaison to Board members by coordinating Board and Board Committee meeting calendar, preparing agendas, and meeting materials, coordinating meeting logistics, answering Board member questions, and supporting other Board activities as necessary
  • Prepare minutes of Board and Board Committee meetings, and maintain all corporate records and meeting minutes
  • Coordinate meeting logistics and meeting materials, and provide other membership and governance support as necessary to the Advisory Council
  • Provide administrative support to President, CFO, and Staff
  • Manage conference room calendars and assist with meeting setup as needed
  • Maintain corporate correspondence databases
  • Coordinate office administration, operations, equipment, and facilities maintenance functions including but not limited to security system and telephone/cell phones
  • Plan and coordinate event logistics including securing meeting space, catering, and audio-visual requirements; and preparing and coordinating invitations, registration, and attendee tracking
  • Participate in on-boarding process for new employees including office space and equipment
  • Other responsibilities as assigned

 Qualifications:

Knowledge/Degree/License Requirements

  • Bachelor’s degree or equivalent preferred

 

Experience

  • Three to five years of related professional office experience in a team-oriented environment

  • Ability to troubleshoot office equipment issues
  • Thorough knowledge of automated office equipment
  • Strong organizational skills
  • Good problem-solving skills
  • Ability to maintain office records and files

 

 Physical Requirements

  • Physically able to lift various materials up to 20 pounds on an occasional basis
  • While performing required job tasks, physically able to remain seated, frequently to continuously
  • Possess necessary dexterity to frequently operate keyboard, operate office equipment, filing and other related job responsibilities
  • Ability to receive detailed information through oral communication and make fine discrimination in sound
  • Ability to express or exchange ideas by means of the spoken and written word
  • Visual acuity appropriate for working on computer and with typed and handwritten materials
  • Ability to transport self to meetings, events, and affiliated vendors

  Salary range: $48,650  - $55,000
