Program Support Assistant - SHARPP

University of New Hampshire

To provide grant support, financial management, and administrative support for the Sexual Harassment & Rape Prevention Program (SHARPP) at the University of New Hampshire. Requiring specialized knowledge in managing federal and state grants from multiple sponsors and a thorough understanding of generally accepted accounting principles (GAAP). Coordinating and supporting the general day to day office administrative, clerical, and operational tasks related to the successful management of SHARPP. The program support assistant is responsible for providing customer service to students, faculty, and staff. Office Hours: Monday-Friday 8am-430pm.

Other minimum qualifications:

  • High School graduate (or equivalent)
  • 3-5 years of closely related work experience or a combination of completed education and/or related work experience
  • Experience working with the requirements of grants, including reporting and budgeting- strong written and oral communication skills
  • Ability to establish clear administrative organizational systems and provide exceptional customer service to all clients
  • Effective time management skills surrounding due dates and project deadlines. Experience pivoting from one task to another in relation to workload pace.
  • Proficient computer and software skills such as Microsoft Office Suite, Outlook/Email management, and relevant financial/budgeting applications
  • Ability to establish and maintain effective working relationships with faculty, staff, students and the general public
  • In-depth knowledge of bookkeeping methods and software
  • Ability to ensure client confidentiality according to state statute

Additional Preferred Qualifications:

  • Associates degree in accounting, business, administration or other related discipline 
  • Experience with budgeting and bookkeeping
  • Office management experience
  • Completed certification and/or courses in grant management, financial administration
  • Experience working in a fast-paced, ever changing work environment.

Responsibilities:

Administrative Support & Office Management:

  • Serve as the first point of contact for clients coming into the SHARPP office. Greet & assist all student, staff, and faculty visitors. Maintain a warm and welcoming environment, answer and route all incoming phone calls from both the office line and crisis line, responsible for front desk office coverage.
  • Coordinate and process all hiring and pay documents for student workers and staff (I-9, W-4, NS1).
  • Coordinate office-wide calendar scheduling/booking for SHARPP meetings, agenda creation and distribution, meeting minute transcription and record keeping.
  • Schedule and manage all registration and travel expenses/details for staff conferences and travel.
  • Schedule and coordinate all work orders, facilities maintenance requests, and process respective encumbrance payments.
  • Maintain inventory of office supplies and forms including requisitioning and purchasing from vendors. Implement clear organizational systems for office supplies, paperwork, and materials.
  • Assist in the ordering/purchasing for all outreach + marketing materials, and special event/program supplies
  • Maintain clear and current records of SHARPP’s policies and procedures
  • Provide ongoing administrative support to SHARPP staff as needed- to ensure office flow runs efficiently and effectively.
  • Ensure all sensitive materials and paperwork are handled confidentially.

Grant & Financial Management:

  • Assist SHARPP director in budget development and maintenance, regularly assessing and translating budget needs into proposals.
  • Maintain thorough records on all Sponsored Programs Administration (SPA) grant information related to: VOCA, SVP, SPIRDV, DVPP, Joshua’s Law)
  • Prepare and present monthly financial reports/updates, regularly compile grant-related data and reports to submit in accordance with respective grant deadlines on behalf of SHARPP.
  • Attend all necessary meetings with NH Coalition Against Domestic & Sexual Violence (NHCADSV), STAR, SPA, etc. covering grant funding/revenue, budgets, and expenses.
  • Responsible for pre-award assistance and proposal process oversight with F&A waivers, NFEs, PRF, etc.
  • Apply regulations, sponsor guidelines, and UNH requirements to all aspects of budget development- apply knowledge of current federal, state, and sponsor policies
  • Monitor charges/expenses including transferring changes and proposing budget adjustments as necessary
  • Maintain accurate financial records and prepare/submit regular summary reports- balance in-house financial reports
  • Assist in the tracking of in-kind match data
  • Serve as the liaison and point of contact between SPA, UNH Finance, NHCADSV, and Principal Investigators.
  • Process payments and receipts with all vendors as they surface.

Participate in special projects and assignments as required for the effective operation of SHARPP
