Job Summary: The Database Manager position is responsible for our Homeless Management Information System (HMIS) quality control, oversight, data collection and validation; completion of reporting for all federal/state/local contracts and grants through data collection and validation.  This position will also provide support to our Electronic Health Record (EHR) system, through quality control, oversight, data collection and at times, educating and onboarding new staff into the system.


Minimum Requirements (Education/Experience/Certificates/Licenses): 

  • Bachelor’s degree (IT, Business, etc)
  • 1-year experience with data management.
  • Experience in project management; ability to oversee multiple projects once.
  • Detail-oriented, highly organized and possess logistical mindset
  • Training experience a plus

Essential Functions:

  • Ensure reporting for grant and contract compliance is timely and accurate; maintain documentation and updates systems as required.
  • Assist in data oversight of federal and state required reports for Continuum of Care and organizations, including Point in Time, Housing Inventory Chart, and Annual Performance Reports, etc.
  • Attend and provide data for the Continuum of Care committee and workgroup meetings.
  • Ensure system and user compliance with organizational database’s policies and procedures
  • Participate in New Hampshire HMIS Advisory Council and HMIS coordinator meetings to learn of system changes, data quality concerns, funder requirements, and vendor updates.
  • Oversees the general management of clinical and program-related database systems.
  • Manages the technical aspects of the day-to-day operations of the systems.  Works directly with the end users (internal and external) and the software vendors to ensure authorized access to client information, accessibility of the software, software performance, correct set up and monitoring of system security, and adherence to federal and state privacy policies within the software.
  • Oversight of database licenses, ensure approved documentation is being utilized for quality control, ensure all users receive and maintain training for data entry responsibilities
  • Receives, investigates, and resolves technical issues experienced by the end users.  Works with the system administrators to identify software issues and provide training and on the spot fixes with end users
  • Provide regular data reports for data systems to program managers to provide updates on program outcomes, data quality and ongoing program data details
  • Assist as necessary with provision of data as needed for grant writing for state and federal funds.
  • Maintain and promote professionalism, in accordance with the Families In Transition’s Employee handbook.
  • Perform other duties as assigned.
