Weatherization Program Assistant

Community Action Partnership of Strafford County is a 501(c)(3) private nonprofit organization established in 1965 under the provisions of the Equal Opportunity Act of 1964. We work with community, state and federal partners to assist children, families, low-income and elderly residents with their efforts to become or remain financially and socially independent through a variety of coordinated programs. Without the services provided by our agency, many local residents would be without a means to provide for their basic needs, including food, education, child care, utilities assistance, transportation, shelter and access to other services.

General Description

The Weatherization Assistant is responsible for assisting the Weatherization Manager with the day-to-day fiscal and administrative duties with an emphasis on pipeline management.

Education and/or Experience

  • High School diploma or GED
  • Experience using MS Office products particularly Excel and Word
  • Ability to communicate effectively both verbally and in writing
  • Be able to use a phone, computer, calculator and other office equipment
  • Be detail oriented
  • Be able to lift 25lbs
  • Customer service experience
  • Must be comfortable working in a high pace office environment

Duties & Responsibilities

  • Assist in the fiscal management of the program in accordance with the agency’s fiscal procedures. This includes but is not limited to budgets, expenditures, billings, reports and regulations
  • Assist in the daily tracking of funding allocations, monthly job data and payroll distribution
  • Maintains the Weatherization Pipeline Report
  • Answers calls to the Weatherization Department
  • Accept applications for fuel and electrical assistance as required
  • Manage the handling and tracking of invoices
  • Works closely with agency fiscal personnel
  • Monitor agency pipeline management systems
  • Account for and track incoming payments from utility funders
  • Learn the RFP process
  • Complete reporting paper work, complete utility “OTTER” on-line data collection/billing
  • Become proficient with Excel, OTTER, TREAT, SharePoint and other agency computer platforms
  • Familiarize and abide by procedures rules and regulations outlined by federal and local grants as well as agency utility partners
  • Maintain client files and perform final file reviews in accordance with agency rules and regulations
  • Attend meetings, participate in trainings
  • Occasional travel for training and conferences
  • Maintain good working relations with funders, utilities and customers and crews
  • Other tasks as may be assigned

Employment Screening

Valid Driver's License and insured vehicle (100/300 minimum coverage) for use on the job or acceptable alternative, driving record check, criminal record check, randomized drug screening.
