We are currently looking for a Quality Improvement Administrative Assistant  - to help the agency with providing administrative support to the quality department. This is accomplished by handling data entry, tracking and coordination of processes. Additionally, the Quality Improvement Administrative Assistant will provide administrative support to the Facilities and Fleet manager. The candidate must have an understanding of Developmental Disabilities.

Requirements:

Education: Bachelor’s Degree preferred or equivalent work experience

Experience:  Four years’ experience in administrative or clerical position; experience with human service agencies preferred.  Intermediate level skills with MS Word, Excel and Database programs Experience working in a network environment, experience with meeting minutes would be preferred.

Responsibilities:
  • Data Entry and Tracking - Receives and enters into databases the following documents:     
  • Surveys and mailings – Coordinates the process for the biennial NCI Surveys including copying and mailing.  May create other surveys at request of Supervisor and coordinator processes for surveying stakeholders, employees and community satisfaction.  Will coordinate process for mailings to clients, families and other stakeholders to send them materials about changes in practice or educating them about current practice (Ex: Clients Rights process; Complaint Process). 
  • Reports  May run reports from databases to provide data to Supervisor. Will assist with data summary and analysis for QI Reports.
  • Meetings – Participates in QI Committee, HRC, IAC and semi-annual provider agency meetings to record meeting minutes.
  • Orientation and Training – Provides assistance to staff and provider agencies around timelines for data submission and particular processes at Community Bridges.   May assist with educating HIPAA practices and policies.

Other duties-

Agency Administration

  • Facilities and Fleet Support – provides administrative support to the facilities and fleet manager in the form of invoice data entry and tracking for payment.  Creates forms and manages information for the facilities and fleet manager.  Responsible for understanding the responsibilities of F & F manager to provide support to clients and residences during F & F Manager absence. 
  • Policies and Procedures – Creates or revises policies and procedures based on draft from Supervisor to insure that documentation and tools exist to support the work of staff at agency.   Maintains and updates the P&P Table of Contents.
  • Other – May assist other administrative support staff with tasks or as back-up and be asked to provide administrative support to the agency as a whole.  Other duties as assigned.
