Administrative Assistant/Site Coordinator

UNH, located in Durham, New Hampshire, with additional campuses in Concord and Manchester, is the flagship undergraduate, graduate, and research institution of the University System of New Hampshire. UNH holds land-grant, sea-grant, and space-grant charters and is the only comprehensive public research, doctoral-granting institution in New Hampshire. The University enrolls 14,000 students, has a full-time faculty of 600, and offers over 95 undergraduate and 68 graduate programs in eight colleges. New Hampshire’s natural beauty includes coastal beaches, an extensive lakes region and the White Mountains. Durham is near the seacoast and about an hour from the mountains and lakes region to the north and Boston to the south.

UNH Cooperative Extension is the primary outreach unit of UNH. Its mission is to provide New Hampshire citizens with research-based education and information, enhancing their ability to make informed decisions that strengthen youth, families and communities, sustain natural resources, and improve the economy. UNH Cooperative Extension, in partnership with county, state and federal government, conducts comprehensive research-based educational programs. Its offices are headquartered on the University’s Durham campus with additional offices in each of the ten counties, where community based programming is tailored to the needs of New Hampshire citizens. There are 137 employees located throughout the state, working with over 3,000 volunteers to make a positive difference in people’s lives. The UNH Cooperative Extension budget was $16.9 million in FY14.

The Administrative Assistant/Site Coordinator position for UNH Professional Development & Training is located in Portsmouth (Pease Tradeport). The Administrative Assistant/Site Coordinator must be able to work flexible hours ranging from 25-40 hours, including some evening and weekend work. This position is hourly and not eligible for benefits.

Duties Include:
• Act as a primary point of contact for the public through phone, email, social marketing sites, and walk-ins. Maintain organized and professional appearance of public areas (front office, classrooms, hallways, etc.).
• Communicate workshop information, parking/site information, program policies/guidelines and additional administrative details to prospective or current participants, workshop instructors, and general public. Maintain privacy in communicating sensitive information and confidential materials.
• Coordinate the site operations of PD&T workshops and on-site conferences. Serve as the liaison between PD&T and partners at Pease Tradeport (building management, phone/internet provider, etc.). Assist with PD&T off-site conferences as needed.
• Process initial hiring paperwork for instructors as appropriate (I-9 forms, W-4 forms, hiring letters).
• Assist with scheduling professional development workshops, conferences and meetings on-site. Assist with set-up, signage, audio/visual needs, catering, trouble-shooting, and clean-up.
• In collaboration with PD&T program managers, develop, design and distribute marketing materials as needed. Update electronic calendars, event systems, and databases with current information and events to promote PD&T activities to the public.
• Serve as backup for Enrollment Manager as needed, requiring mastery of basic tasks in enrollment management system and POS payment terminal.
• Manage office filing systems, appointment calendars, bulletin boards as appropriate.


1. Bachelor’s degree and three years of related experience, or a combination of higher education and related experience equal to five years.

2. Proficiency, or ability to attain proficiency in: Microsoft Office; Adobe Creative Suite; registration systems (Destiny One); databases (SalesForce); survey tools (Qualtrics); and social media platforms.

3. Must be able to accommodate flexible schedule to cover early morning, weekend, and evening events. During these instances, responsible staff will coordinate schedules for coverage during the week for posted office hours.

4. Self-motivated, highly-organized, able to take direction, and be proactive in managing logistics and details.

5. Must have a customer-service orientation, with ability to establish and maintain effective working relationships with faculty, staff, students, participants, and general public.

6. Excellent written and oral communication skills. Some public speaking is required.
