About the Job

Description

Greater Nashua Mental Health is looking for a Support Specialist to join our ACT team! The Support Specialist oversees and manages the day-to–day administrative needs of the ACT Coordinator and the ACT Team staff. Works to ensure that clinical tasks are scheduled correctly in electronic record, critical documentation is completed by clinical staff in a timely manner to ensure billing occurs efficiently, and important data is tracked and recorded for reporting purposes. Directs incoming calls to treatment team to ensure prompt timely response.

Duties & Responsibilities: 

  • Provides administrative support to and for the team including: data entry, photo copying, composing and sending memos/emails, developing tracking systems, maintaining paperwork, completing forms, filing various paperwork, updating and maintain logs, runs reports, takes notes or minutes at meetings etc.
  • Attends clinical team meetings and works with ACT Team staff to limit lapses in client insurance coverages, ROI’s, and treatment plans and ensures services received are ordered and covered
  • Answers and screens all incoming phone calls and directs callers to the appropriate staff member
  • Accurately documents all information in the appropriate fields and/or account notes. Maintains accuracy when entering demographic and insurance information into the system.
  • Manages clinical staffing schedules if appropriate
  • Maintains an efficient tracking system of required information for various process/procedures
  • Maintains and updates team processes, workflows, and protocols as needed   
  • Maintains calendars for the conference rooms and other locations, where scheduling is necessary
  • Manages office and program supplies and submits orders when necessary and appropriate
  • Makes treatment team aware of any discrepancies in documentation and follows up to ensure that discrepancies are addressed in a timely manner
  • Performs other duties or special projects as required or as assigned  

Qualifications:   

  • High School Diploma or GED equivalent required
  • 1 to 2 years working in a medical office, preferably mental health
  • Ability to keep and maintain multiple team schedules
  • Projects a friendly, positive, and professional attitude both in person and on the phone
  • Basic Data tracking and report writing skills
  • Detail oriented
  • Flexible, willing to learn
  • Strong collaborating skills, and an ability to work effectively both independently and as part of a team
  • Comfortable in a fast-paced environment with frequent deadlines; high energy, self-motivated and proactive.
  • Excellent communication and interpersonal skills
  • Ability to multitask, and be flexible with regard to workload and assignments
  • Ability to exercise judgment
  • Ability to problem solve and exercise judgment
  • Knowledge of Microsoft Office products (Email, Word, EXCEL)
