About the Job
We are seeking an energetic and passionate part-time Development Associate who will be responsible for delivering multiple events that inspire and engage participants in the organization’s mission and manage all the SNH fundraising database. The position reports to Executive Director.
Key overall responsibilities:
- In partnership with the Executive Director, develop and implement the annual events and fundraising plan that moves SNH toward its vision, in collaboration with CEO, Board of Trustees and donors.
- Coordinate and deliver donor-centered communications for events and appeals.
- Maintain relationships with donors, corporate sponsors, vendors and partners associated with the events and campaigns.
- Key database management responsibilities include the timely processing and acknowledgement of gifts, including gift entry, donor information updates, data imports, data organization, and data hygiene.
Annual Fund Operations:
- Assist with the development and implementation of the annual fundraising plan
- Maintain fundraising events calendar
- Provide support for communications with donors and prospects
Donor related Events:
- Responsible for the logistics of all donor events, including volunteer recruitment, building relationships, day-of-event event management.
- Coordinate and track event attendance for all donor events
- Work with special events personnel to coordinate event logistics
- Provide corporate sponsor fulfillment and other partner obligations
- Track and report on event fundraising results and participant involvement
- Work collaboratively on events with all members of development team, operations team, committee members and Board of Trustees to achieve event fundraising goals
Communications & Marketing:
- Assist with writing about events on all SNH social media platforms
- Manage the creation and design direction of donor event-specific communication pieces
- Participate in the development of new ways to welcome, engage and reward donors for their participation and commitment to SNH
Database Management:
- Coordinate the processing of incoming gifts according to established protocols. Responsible for maintaining gift-intake forms and supplies and resolving exceptions.
- Work with bookkeeper to reconcile gift entry; prepare, revise, and distribute income reports.
- Accurately enter gift detail in Patron Manager; add new donor records and update existing records as needed; de-duplicate constituent and relationship records; enter gift batches; print daily contributions and gift validation reports; submit batches and reports for proofing and make corrections before letters are posted.
- Download online donations and accurately import gift detail into Patron Manager.
- Produce donor acknowledgement letters and receipts for gifts
- Work with fundraising and finance team as necessary to clarify donor intention or any other questions related to contributions.
- Maintain physical files, including proper gift documentation. Attach media files when necessary to constituent records.
- When required, support the customer service staff on responding to donor inquiries regarding gift processing and demonstrate exemplary customer service in all exchanges.
- Manage inventory of stationery items required for gift processing, acknowledgements, and stewardship programs.
- Manage time-sensitive tasks on a daily basis and exercise good judgment to protect confidential information.
- Manage the pledge reminder and collections process: send monthly pledge reminder letters to past-due donors; proactively follow-up by phone with donors who have missed payments; prepare monthly past-due and collections reports for leadership.
- Support planned giving donor files, including proper gift documentation; track status of planned gifts and update quarterly.
- Other related duties and responsibilities, as required.
Qualifications:
- Strong passion for the mission. Performing arts background preferred.
- Previous experience in fund development, event management, fundraising events, project management, marketing, communications or equivalent.
- Exceptional interpersonal and communication skills, including an ability to communicate clearly in verbal and written forms, as well as forge and maintain relationships with event stakeholders, with a strong focus on quality customer service.
- Demonstrated ability to work autonomously, as well as contributing to a cohesive team environment.
- Ability to successfully manage multiple priorities and meet strict deadlines.
- Skilled in developing work plans with tasks and tactics that achieve strategic goals and outcomes for each event and the organization.
- Results oriented with a desire to attain new goals each year.
- Experience with fundraising databases.
- Experience with Microsoft Office 365 or equivalent; proficiency in Microsoft Word, Excel and PowerPoint.
- Experience working with digital fundraising platforms.
- Strives for excellence and continuous improvement.
- Understand and follow requirements of work environment including, but not limited to, open communication, professional attire, punctuality, preparation for meetings and coordinating work with all levels of employees.
