SUPERVISION: Works under the direct supervision of the Executive Director (ED)

PART TIME: (12 Hours/week)
LOCATION: Carey Cottage/Hybrid-Remote, Portsmouth NH

Responsibilities 

The Volunteer Manager directly oversees the Village volunteer program. They are responsible for recruiting, training and retaining volunteers; planning, assigning, and directing volunteer workload, addressing issues and resolving problems. The Volunteer Manager ensures compliance with Seacoast Village Project procedures and principles.. They will ensure the coordination of volunteer services and will oversee the development and implementation of the plans to meet membership needs. This position will work in close collaboration with the Operations Manager (OM).

Program Administration

  • Reviews and updates Volunteer Program policies, procedures and related forms on a regular basis
  • Maintains files on all volunteers
  • Maintains a list of volunteer needs across the organization for direct service to members, support of programs, events, Village teams, committees and clusters
  • Provides regular reports to the ED on program metrics
  • Participates in program evaluation activities
  • Monitor expenditure for the volunteer program against the approved budget 
  • Provides input for Volunteer Program budget needs

Volunteer Recruitment

  • Identifies members who have expressed an interest in volunteering for the Village. Manages outreach to interview for interests, skills and availability
  • Completes vetting of volunteer applications, including background and reference checks and (when applicable) driver credential check.
  • Develops relationships with opportunities to utilize community volunteers (such as high school and college students) to serve our members 

Volunteer Welcoming and Onboarding

  • Participates in the update of Volunteer orientation materials, including the general orientation, driver orientation and Volunteer Handbook
  • Schedules and delivers orientation and training
  • Provides clear guidance for volunteer communication, for questions, incidents, and for volunteer concerns
  • Provides a check-in with each new volunteer within the first month of their first assignment

Volunteer Engagement

  • Assigns volunteers who have completed orientation to positions or tasks within the Village that are in keeping with their skills
  • Writes or updates volunteer position descriptions to reflect current needs
  • Identify volunteer assignments that provide meaningful and productive work for volunteers
  • Matches volunteers to members with service requests

Volunteer Training, Supervision and Appreciation

  • Ensures that volunteers have the training needed - including on the job training - to successfully complete their assignments
  • Provides feedback to volunteers - positive and negative - about the services they are providing, and guidance for improvement if needed.
  • Provides regularly scheduled training programs that reflect program needs and volunteer interest.
  • Plans and executes volunteer appreciation activities at least twice yearly (traditionally in April and November).
  • Helps the Village promote volunteer success stories through our newsletters, engagement in community and statewide volunteer programs and at events.

Required Skills

  • Ability to manage assigned duties independently, with flexible schedule as needed
  • Ability to work with multiple individuals and teams within the organization, setting goals and boundaries as appropriate
  • Excellent communication skills - written and verbal
  • Ability to motivate and empower volunteers with a wide array of skills
  • Must possess a valid driver’s license and be able to travel when needed 
  • Perform other related duties as required 

Education and Experience

Bachelor's Degree in Social or Human Services. Experience may be considered in lieu of education. Experience implementing volunteer projects and plans. Understanding of recruitment processes and demonstrated talent in motivating others.

Preferred Experience

Experience in non-profit/volunteer sector preferred. Strong interpersonal communication and conflict management skills required. Proficient in Microsoft Office, Google Drive, Zoom, and familiar with database systems.
