About the Job

Description

The Volunteer and Donations Coordinator reports to the Chief Advancement Officer and is a member of the Advancement Team at CAPSC. This position is responsible for volunteer recruitment, orientation, placement, and project planning. This position is also responsible for solicitation, acquisition, and tracking of in-kind donations to the organization. This position will collaborate frequently with program managers to create and manage volunteer roles, as well as maintain an up-to-date list of in-kind donation needs. The Volunteer and Donations Coordinator will serve as the point of contact for the agency for volunteers and in-kind donors and will be responsible for communicating our needs, as well as expressing appreciation and thanks to our in-kind donors/volunteers. Finally, this position will be responsible for tracking in-kind donations and volunteer hours in our donor database, Raiser’s Edge.

Key Responsibilities

Volunteers:

  • Completes the recruiting, screening, and placement of new volunteers.
  • Develops and conducts orientation for volunteers on an ongoing basis.
  • Ensures that volunteer check-in procedures are followed and records of volunteer hours are maintained according to established procedures.
  • Trains agency staff/program managers on volunteer tracking procedures.
  • Meets regularly with program managers to review and assess volunteer needs.
  • Partners with HR to ensure appropriate background checks are conducted, as dictated by programs.
  • Plans and implements formal and informal recognition activities to recognize the contributions of volunteers to the organization.
  • Acts as liaison between the agency and the community for volunteer needs.
  • Some travel required between CAPSC sites.

In-Kind Donations:

  • Researches and cultivates relationships with individual and corporate donors as well as community agencies for the solicitation of in-kind goods.
  • Communicates with potential donors regarding items to be donated, as well as planned delivery of said items.
  • Exercises discretion regarding acceptance (or rejection) of donated goods and maintains attentive, gracious customer service throughout the relationship with potential donors.
  • Develops donation paperwork and policies and procedures for accepting donations and trains agency staff on the policies and procedures.
  • Meets regularly with program managers to review and assess in-kind needs.
  • Acts as liaison between the agency and the community for in-kind needs.

Donor Database:

  • Enters in-kind donations and volunteer hours into Raiser’s Edge.
  • Acknowledges volunteer and in-kind donations in a timely manner.
  • Maintains an up-to-date donor database with details on volunteers and in-kind donors/gifts.
  • Partners with the finance team to ensure reconciliation of in-kind donations and volunteer hours.
  • Generates ongoing reporting summaries of volunteer hours and in-kind donations by program, by grant, and for the agency as a whole.

Communications and Stewardship:

  • Collaborates with the Communications and Events Manager to utilize marketing tools to spread awareness of open volunteer opportunities and in-kind donation needs, such as email, website, social media, and volunteer recruitment sites.
  • Keeps new and existing volunteers informed about the organization and volunteer opportunities.
  • Keeps new and existing in-kind donors informed about the organization and in-kind needs.
  • Provides content for agency print and digital materials related to volunteers and in-kind donations.
  • Answers calls and emails in a timely manner, while providing outstanding customer service.

Department Support:

  • Assists with department initiatives and events, such as the Annual Meeting and Golf Tournament.
  • Serves as an active team member and collaborator on department activities and projects.
  • Other duties as assigned.

Qualifications:

  • An associate’s or bachelor’s degree in business, social services, communications, or related field.
  • Prior experience in the nonprofit sector is preferred.
  • Experience with Raiser’s Edge (donor software) preferred.
  • Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, and Outlook) preferred.
  • Strong organizational skills and the ability to multi-task and prioritize in a highly fast-paced environment.
  • Excellent written and verbal skills.
  • Exceptional attention to detail, ability to meet deadlines, project management, and teamwork.
  • A moderate degree of physical labor is required for distributing donations, such as lifting boxes.
