About the Role:
The Island Registrar reports to the Conference Center Director. The Island Registrar oversees all aspects of the registration process and is also responsible for the management of data of information systems for conference registrations and island financial transactions. During the conference season, the Island Registrar supervises the Registrar’s Assistant and the Front Desk staff.
Essential Functions
- Implement registration policies and procedures
- Oversee conference registration procedures including training and providing ongoing support for volunteer conference registrars
- Working with volunteer conference registrars, coordinate housing for all conferees; oversee housing for volunteers, personal retreaters, employee guests, etc.
- Oversee Front Desk operations
- Oversee dockside check-in process on conference arrival days
- Process all online and manual registration payments
- Compile weekly island deposits and deliver to bank
- Provide SIC Finance Department with island financial transaction and other reports
- Work with SIC Finance Department to reconcile payments. Verify and reconcile all deposits, payments, discounts, and scholarships.
- Manage registration databases, ensuring constituent data is accurate and updated. Coordinate data transfer between systems, and work with programmers and database providers on maintenance, updates and troubleshooting.
- Set up conference and event registration forms and webpages and process registrations in a timely manner.
- Oversee process for collection of conference programming fees and distribution to each conference.
- Generate guest and conference bills. Ensure payment, including following up on outstanding bills.
- Oversee all aspects of SIC’s Financial Grants (Aid) Program, including working with volunteer committee and relevant staff, preparing application form, processing financial grant applications, and processing awards
- Implement SIC’s Discount Program, including working with SIC’s Outreach Manager, processing applications, and applying discounts to bills.
- Provide excellent customer service, including setting standards for Front Desk employees and volunteer conference registrars
- Prepare various reports, including conference bed night (registrations) reports, registration projections, discounts, financial aid, etc.
- Provide technology troubleshooting support and training for registration process
Minimum Qualifications/Requirements
- High School or equivalent required, Associate or Bachelor’s degree preferred
- 2 – 4 year’s customer service preferably in the hospitability industry and/or data base experience
- Excellent English communication skills both verbal and in written, bilingual preferred
- Superb organizational skills and an ability to prioritize assignments and manage competing demands on time
- Experience in dealing with people; must be courteous, tactful, and discreet in the handling of confidential/sensitive information
- Computer skills must include experience/expertise in database software and Microsoft Windows, Excel, and Outlook; Raiser’s Edge experience/expertise a significant plus
- Overnight stay/residency on Island during the conference season (June-September: typically 5 days & nights/week)
- This is a full-time opportunity with a flexible hybrid office work schedule (October-May: typically 3 days/week in Portsmouth, NH, office & 2 days/week remote (if desired))
- The salary range is $50,000 to $65,000 depending on education and experience
