Office Coordinator

Monarch School of New England

The Monarch School of New England serves students with significant special needs ages five to twenty-one in the least restrictive setting possible.  Our program focuses on educational activities as well as social opportunities by integrating traditional as well as alternative therapies and vocational programming.  Our professionals work closely with each student to prepare them for integration back into the mainstream or the communities where they will eventually live.

Overall responsibility for office coordination and book keeping duties.


Education: Bachelor’s degree in business administration or equivalent experience with business / secretarial courses and/or experience. 

Experience: Documented job experience with office procedures and use of computer software, to include at a minimum, Excel and Word.

Physical Requirements: Free of restrictions that would limit the use of the hands as it relates to computer operation, with or without reasonable accommodation and or mechanical devices, and the ability to stand, walk, sit, lift, carry fifty (50) pounds, and accomplish physical management of students consistent with CPI training. Includes some local travel.

Other Requirements: Valid driver's license, Obtain and maintain certification in First Aid, CPR, and CPI. Participate in professional development as determined by supervisor.

Supervisor:  Executive Director / Director of Finance

Work Schedule: Compensation is based on forty (40) hours per week, fifty-two (52) weeks / year.


1.  Coordinates front office/building operation by ensuring a constant presence for visitors and answering / receiving / delivering telephone and fax messages.

2.   Receives all visitors entering the School and provides direction as required.

3.    Records daily attendance for staff and students.

4.  Distributes and reconciles petty cash and records all money received by School.

5.  Responsible for mail: coordinates pick up, opens and distributes in-coming mail, and drops off out-going mail at the end of the day.

6.   Completes billings for related services based on weekly reports from staff.

7.   Maintains Rehab Aid Sheets – collect, compile, distribute, and file.

8.   Keeps an inventory of office & maintenance supplies and postage and orders as needed.

9.   Processes all purchase orders to include placing orders; following up when necessary; checking packing list of received goods against purchase order; and distributing the order. 

10.  Administrates and trouble shoots phone system; and establishes voice mailboxes.

11.   Assists with facilitating computer, printer, and copier repairs and maintenance.

12.  Schedules and monitors all fire drills.

13.   Maintains classroom lists for both sites.

14.  Assists with word processing and spreadsheets as assigned.

15.   Prepares staff meeting minutes.

16.   Performs other duties as assigned by supervisor.
