Position Overview:

The Executive & Operations Associate’s primary responsibilities are to provide high level administrative support to the Executive Director and ensure smooth and efficient daily business operations.  A successful Executive & Operations Associate is highly organized and have a versatile skill set to support a variety of different business functions with a diverse range of tasks.

This position is 30 hours per week.

 

Duties & Responsibilities:

Executive

  • Coordinates all staff and board calendars and assists with executive director’s calendar.
  • Assists executive director with employee and board communications.
  • Prepares materials and presentations for board and committee meetings.
  • Assists with the on- and offboarding of new and separating board members.
  • Maintains company electronic and paper filing system, including up to date documentation and proper and timely disposal of files.
  • Maintains access and to and content of private board web page.

 

Human Resources

  • Assists with employee recruitment, candidate screening, and on- and off boarding of new and separating employees.
  • Conducts benefits enrollment, changes, and terminations, and communicates benefits information to employees.
  • Responsible for all administration of and activities related to payroll, including detailed knowledge of payroll service, system, and platform, and act as internal expert and liaison on behalf of the Executive Director and staff.
  • Conducts employee I-9 documentation, and criminal background and DMV checks.
  • Maintains employee electronic, paper, and payroll platform files.

 

Technology

  • Manages inventory from soup to nuts, including researching, purchasing, inventorying, maintenance, monitoring, replacement schedule, and disposal.
  • Manages computer, printer, telephone and other electronic equipment malfunctions, involving assessing and troubleshooting basic issues and coordinating with vendors.
  • Acts as the internal expert for staff on Microsoft 365 suite of apps and other all-staff technology tools, and the liaison with external technology vendor(s).
  • Supports/trains employees on basic use of equipment and all-staff software/platforms.

 

General Operations

  • Maintains general office and promotional supplies inventory.
  • Maintains a detailed equipment and furniture inventory and conducts video inventory of general supplies on an annual basis.
  • Oversees disposal/redistribution of supplies, equipment, fixtures, and furniture in disrepair/no longer in use. 
  • Maintains general (non-departmental) organizational storage areas and assures cost-efficient use. 
  • Daily management of organizational mail and other deliveries.

 

Financial

  • Follows protocols for managing incoming checks and cash, including donations documentation, and remote and storefront bank deposits.
  • Generates reports and manages financial inquiries (vendors, customers, internal) in Quickbooks.
  • Coordinates bookkeeping materials—prepares and distributes financial documents, receivables, payables.
  • Prepares information and materials for accountant for annual financial review and taxes and filings.
Requirements:

Education & Related Work Experience:

  • Bachelor’s Degree in relevant field, education may be replaced by equivalent, relevant work experience.
  • Minimum of three years related administrative experience; preference for applicants with nonprofit office management experience, and demonstrable experience with executive, HR, and technology administration.

Work Environment / Physical Requirements:

  • Routine office environment.
  • Able to lift/maneuver up to 20 pounds on occasion, and at varying heights. 
  • Occasional nights / weekend work required.
  • Must have own transportation, a valid driver’s license, and adequate insurance.
