Position Overview:

The Operations Associate’s primary responsibility is to provide professional administrative support to the Executive Director and ensure smooth and efficient daily business operations.  A successful Operations Associate is highly organized and has a versatile skill set to support a variety of business functions with a diverse range of tasks.

This is a part-time (20 hours/4 days per week) position.

Requirements:

 Duties & Responsibilities:

Human Resources

  • Assists with employee recruitment and on- and off boarding of new and separating employees.
  • Conducts benefits enrollment, changes, and terminations, and communicates benefits information to employees.
  • Maintains employee electronic, paper, and payroll platform files.
  • Assists with payroll processing and reporting.

IT/Electronic Equipment

  • Manages computer, printer, telephone and other electronic equipment problems, including troubleshooting basic malfunctions, and coordinating with vendors.
  • Manages inventory, including research, purchasing, inventorying, and disposal.
  • Maintains an IT replacement schedule.
  • Supports/trains employees on basic use and maintenance of IT/electronic equipment.

General Operations

  • Maintains general office and promotional supplies inventory and organizational storage areas.
  • Oversees disposal/redistribution of supplies, equipment, fixtures, furniture in disrepair/no longer in use.    

Executive

  • Prepares materials and presentations for board and committee meetings.
  • Assists with the on- and offboarding of new and separating board members.
  • Maintains up to date board and organizational documents and materials on website, e- and paper files.

Other

  • Relates congenially and professionally with all key constituents of the organization, including clients and their family members; staff; board and other organizational volunteers; donors; referral sources; and organizational partners.
  • Other duties as assigned.
Responsibilities:

Education & Related Work Experience:

  • Bachelor’s Degree or equivalent work experience.
  • Minimum of two years administrative experience, preferably in a non-profit setting.
  • Comprehensive, basic technical and technological acumen.
  • Competent with Microsoft Office products; skills/experience with a variety of technology tools and platforms preferred.

  • Highly organized, with excellent attention to detail.
  • Proficient communication skills—interpersonal, verbal, and written.
  • Warm, professional, collaborative, and flexible in nature.
  • Strong time management, prioritization, and problem-solving skills.
  • Proven ability to produce high quality work in a busy work environment.

Work Environment / Physical Requirements:

  • Routine office environment.
  • Able to lift/maneuver up to 20 pounds on occasion, and at varying heights.
  • Occasional night / weekend work required.
  • Must have own transportation, a valid driver’s license, and adequate insurance.
