SUPERVISOR: Vice President, Administration
POSITION: Full-time, salary, exempt
DESCRIPTION
The Manager, Administration performs administrative duties as assigned to support the goals and mission work of the organization.
The position is a part of the administrative department, which works to support the organization’s success by providing all departments aid in back-end execution of day to day and event specific work. Specifically, focusing on:
- Administrative support
- Utilizing communications and marketing to effectively share and promote our mission
- Equipment management
- Office management

The organization has a small staff, a heavy event driven workload and frequently works under deadline pressures. Employees must demonstrate personal discipline and self-motivation to meet SONH organizational and program goals. Each SONH staff member is expected to demonstrate flexibility in assignments, tasks, schedules and roles, working cooperatively with staff members and/or volunteers to meet our goals. Flexibility in work assignments and role is essential in all our work. Staff will report directly to volunteers leading specific projects each year (if applicable). Demonstrating support for our athletes, donors and volunteers is a requirement for all staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Inventory
- Auction (admin lead)
- General
- Fiscal management
- Ensure that money spent is within budget and submitted in a timely manner (check requests, expense reports and credit card statement)
- Submit time allocation form monthly
- Record all in-kind donations
- Organization, Communication and Time Management
- Utilize a system of time management that will allow you to establish and meet deadlines.
- Maintain an efficient system of communication within the organization
- Maintain communications in a cooperative and professional manner with all levels of SONH. Including staff, volunteers and athletes by demonstrating:
- Open communications with respectful and constructive expression of differences;
- Treating all employees with dignity, respect and courtesy; and
- Making every effort to resolve conflict and communication issues.
- Each staff member must help with general organizational needs, while also ensuring that their specific tasks are being completed
- All hands-on deck events
- Common area cleanup
- Transporting items to/from Morgan
- Ability to work flexible hours that include evenings and weekends, multiple overnight events required
- Performs other tasks as assigned
- Fiscal management
KNOWLEDGE AND EXPERIENCE
- 4 years of work experience
- Understands the sense of urgency required to support an event (front and/or rear facing support)
- Strong computer skills (MS Office, graphic design experience, adobe software, social media channels, constant contact, etc.)
- Attention to detail and accuracy are essential in this position
- Demonstrated success in effective time management and ability to balance multiple projects and tasks as assigned
- Comfortable working in a fast-paced environment and ability to be flexible, adapt and problem solve when directed
- Excellent communication and interpersonal skills; ability to delegate where required and foster a team atmosphere
- Proven ability to effectively work with diverse groups
- Bachelor’s degree
- Valid driver’s license

PHYSICAL, MENTAL AND VISUAL REQUIREMENTS
Good vision is required for the time reading a variety of documents and for computer work. Must be able to lift 50 pounds to assist in preparing equipment for events. Most tasks require bending, reaching, walking and sitting. Many tasks require sitting and a broad range of motion. Most tasks require frequent mental and visual attention and the ability to re-focus attention following interruptions.
Work requires travel by automobile to communities throughout NH for meetings and program operations. Employees must maintain a valid NH driver’s license and manage travel arrangements, including overnight accommodations. Employees are responsible for loading and moving program materials, assorted promotional goods and/or tools into personal vehicles or other vehicles as needed to meet schedule deadlines.
Work schedules fluctuate as needed to meet program management goals and planned schedules.
SAFETY
Work is performed in SONH offices and at various venues for meetings and events during the year.
Travel by automobile requires attention to safe driving practices, including the wearing of seat belts. SONH employees are expected to follow motor vehicle laws of each state in which they drive for business purposes, including laws prohibiting the use of cell phones while vehicle is being driven.
The employee must be able to perform the duties and responsibilities of the position without posing a direct threat to his or her health and safety or the health and safety of other individuals in the workplace.
