Information and Referral Services Assistant

Purpose/general responsibilities:  The primary responsibility for processing responses to requests for information and referrals from phone contacts, through web-site requests and any other requests. Provide ongoing documentation of requests for information and maintain community resources in accordance with I &R policy and procedures. 

Specific (Essential) Responsibilities: 

• Provide all day to day functions for Information and Referral Services.  Follow the policies and procedures that are established to provide high quality and responsive service from initial request through gathering data on our customers’ satisfaction, keeping resource information updated, including generating monthly reports. All data entered will be using a concurrent documentation process assuring timely documentation.

• Assure all information and referral information is entered consistent with LTS policy and procedures in the designated data systems and assure continuity of service referral process internal and with external agencies.

• Maintain and update the community organizations data base for GSIL services consistent with LTS policy and procedures.

• Maintain knowledgeable of all of GSIL’s services to promote and appropriately navigate the recipient for needed community services. Work closely with designated Directors to maintain ongoing knowledge of services.

• Provide ongoing communication and training to GSIL stakeholders of community resource changes .

• Provide community resource guides as requested , researching community services statewide.

• Provide LTS I &R services consistent with LTS policy and procedures , maintain working relationships with referral agents and applying best customer service practices .

• Provide administrative support to include but not limited to:  tasks related to opening and closing the office, answering phones, filing, copying, mailings, completing projects as assigned by supervisor, back up coverage to receptionist,  etc.

• Maintain AIRS certification and Service Options Counseling skills.

• Work closely with the Director of IL services and Director of Outreach to assure compliance with the IL rules. 

• Assure ongoing communication with Service Link / 211 and data entry to DHHS Software program of service options (Refer 7)  

• Provide community education , conduct presentations, and maintain a positive working relationship with community organizations. 

• Conduct other duties as assigned that will increase options for persons with disabilities to live independently in the community and as assigned.

• Work a flexible work schedule in accordance with the needs of I & R services , travel is required as needed.

Other Responsibilities: 

• Participate in general GSIL events and activities.

• Maintain professional knowledge /skills by reviewing professional literature and attending trainings /workshops.

• Support and uphold workplace regulations and safety practices.

Qualifications:  Bachelor’s Degree preferred in human service industry  , experience in options counseling preferred with administrative work experience required. Possess strong oral and written communications skills required; strong computer experience with database and Word documents as well as practice of concurrent documentation is a must. Personal experience with a disability a plus. Must possess excellent customer services.
