Recruitment and Retention Support Assistant for Onboarding Services

Purpose/general responsibilities:  Perform a variety of administrative, communication, and outreach functions supporting the Recruitment and Retention Department statewide which interfaces with the Attendant Care Workers. This will be achieved through managing the registry, recruitment efforts, onboarding and retention processes working in collaboration with the Director of Outreach and Customer Onboarding Services. Specific tasks include but not limited to the following: maintaining active placement of ads on designated sites, maintaining registry, assisting with the onboarding and retention efforts such as follow along documentation and organization of the training events.
Specific (Essential) Responsibilities: 

  • Provide overall administrative support to attract applicants which includes regular postings online and or in any other forum for recruitment . Specific duties include but is not limited to:
  •  Placing Ads on designated sites and monitoring duration / expiration of ads.
  • Tracking success of response for ads placed. Documents and tracks ad placements and ACW data as assigned.
  • Communicating outcome with the Recruitment and Retention Team. Assist with ongoing communication with R&R Team & LTS Coordinators with advertising and recruitment efforts.
  • Maintain current and accurate job postings on GSIL website in accordance with LTS procedure, including daily updates reflecting changes to posted openings.
  • Assist with managing the ACW portal
  • Follow-up (outreach efforts) for Facebook Respondents.
  • Maintain and post monthly advertisement for designated on-line sites as directed by the Director of Outreach & ACW On Boarding, such as colleges, and schools.
  • Prepare and organize the administrative tasks and attend Job Fairs as assigned. 
  • Provide administrative, outreach and communication support in processing applicants and follow along according to LTS policy and procedure work flow, such as processing pre- screens to appropriate Coordinators. Documents according to LTS procedures the results timely.
  • Organize and be the point person for managing the ACW and Consumer Portal. Responsibilities include but not limited t : assuring organization of presentation , new practices are timely processed , communication to Coordinators , outline of resources in portals for communication , etc.
  • Registry Management. Maintain current and accurate Attendant Care Registry in accordance with LTS procedure. To include but not limited to:
  • Performing regular registry updates, adding workers to registry, updating workers information deleting those listings that have not responded, and maintaining ongoing communication with the Coordinators and Human Resources.
  • Coordinate efforts to recruit for ACW’s for the Registry in designated areas.  Act as the primary contact for Registry additions and deletions in the designated areas.
  • Create flyers and informational pieces.
  • Communicate and outreach with ACW’s 
  • Organize and coordinate the administrative and outreach functions for any ACW professional training or events held by LTS. Duties to include but limited to : communication dissemination , minutes , scheduling of meetings, collection of prep material required  , and administrative organization at the events.
  • Provide consistent, timely, and accurate communication to the Coordinators and ACW’s regarding the efforts of recruitment using recommended modes of communications.
  • Retention Support for ACW’s. Provide the organization, documentation, communication, and tracking as needed for retention efforts.
  • Assist with the production of the ACW Newsletter or other communication as needed.
  • Conducts and / or disseminates survey’s for ACW job satisfaction (2-week, monthly survey’s for agency and consumer direct workers) and documents results.
  • Provide back-up coverage as designated to the LTS administrative department for processing documentation in accordance with LTS policy and procedures.
  •  Ability to travel statewide (may include weekends and evenings) flexible work schedule (adjust as needed).
  • Maintain HIPPA compliance & confidentiality.
  • Adhere to all federal and state employment laws regarding non-discriminatory practices.

Other Responsibilities: 

• Participate in general GSIL events and activities.
• Maintain professional knowledge /skills by reviewing professional literature and attending trainings /workshops.
• Support and uphold workplace regulations and safety practices.
• Share newsworthy information appropriately throughout the organization.
• Maintain a positive and professional attitude.
• Travel is required, having a reliable vehicle is essential to attend job fairs and provide errands as needed. 
• Conduct other duties as assigned.

Qualifications:  At least three-year administrative or office experience and clerical skills including proficiency with Microsoft Office software, data management skills and effective verbal and written communication. Knowledge of federal and state labor law practices regarding discrimination preferred.  Prefer experience in the Home Care industry . Must possess a minimum of a High school diploma. Must be proficient in computer software programs. The Recruitment and Retention Support Assistant must demonstrate competency in planning and organizing and the ability to multi-task and attention to detail. Must possess strong customer service skills , communication , and interpersonal skills.
