We are seeking a highly organized, efficient and customer-focused Administrative Assistant to provide administrative support to the Moore Options for Seniors (MOS) management team.  Primary responsibilities include maintaining client files, tracking staff payroll, tracking monthly billing authorizations and payments, and compiling new hire paperwork.

• Associate’s degree and 2 - 3 years’ administrative experience preferred
• Proficiency with Microsoft Office products (Word, Outlook, Excel, Power Point)


• Compile data and maintains files for clients in all programs
• Collaborate with Business Office and external customers to ensure timeliness and accuracy of authorizations for billing (Medicaid, VA, Internal, etc…)
• Receive and track monthly attendance and billing for Adult Family Care/Kinship Care (AFC/KC) program, compile data and submit to Business Office
• Create payroll spreadsheets for Personal Care Services (PCS) staff bi-weekly payroll processing
• Process check requests for AFC/KC provider payments
• Maintain Harmony information for clients in all programs regarding diagnosis codes, authorization periods, basic demographics, and any other pertinent information/changes to the client electronic records
• Maintain schedule and runs monthly reports on client visitation needs for program managers
• Support PCS manager in putting together new hire paperwork for staff and submitting to HR
• Mailing for communications, AFC/KC contract renewals, and sending of marketing material, etc
• Prepare care plans for program manager approvals
• Assist Director with compilation of information for annual 822 license renewal application
• Track and order office supplies based on department needs within designated budgetary parameters
• Act as primary contact for MOS main phone line
