Evening Receptionist

Concord Community Music School

The Concord Community Music School serves 1400 students annually,  age six months through 93 years, from more than 100 communities in four states.   Through its public events  and partnerships with human service agencies and public schools, the Music School reaches 33,000 audience members and community participants annually.   Its mission is to foster a sense of community through music by providing the fullest possible array of musical experiences for people of all ages, musical abilities and backgrounds and its core values are artistic excellence, access for all, musical friendships and lifelong learning.  Successes in fulfilling that mission include the fact that 49% of its weekly students receive free or reduced-cost instruction, and more than 200 public musical events welcome diverse audiences on-site and in hospitals, schools, and performance venues statewide.  An exceptional faculty of teaching artists  teach and perform classical, folk, jazz and world music.

Strong community support has made possible the School’s success, with 50% of its $1.6 million annual budget contributed by individuals, foundations, businesses, and government agencies.  Founded in 1984, the Music School has expanded its statewide programs, its asset base, and doubled the size of its facility through its capital campaigns and annual support. 

Recognition, through highly competitive national awards, has come from such major funders as the National Endowment for the Arts, Jane’s Trust, and the Kresge, Hearst and Wallace Foundations. Other awards include an ASCAP Award for Adventurous Programming, the Dunfey Award for Excellence in Management, the Non-Profit Business of the Year Award from Business NH Magazine, the Champion for Mental Health Award from Riverbend Community Mental Health, and the Governor’s Arts Award for Cultural Access Leadership.

The Evening Receptionist is responsible for the general functions assigned by the Office Manager/Executive Assistant and the Finance Director.

The Evening Receptionist is an hourly, exempt employee, who reports to the Finance Manager and the Executive Assistant.

Working Conditions

Working conditions are normal for an office environment. Regular schedule hours are

Wednesday through Friday 4:30pm–9:00pm.

Salary will be commensurate with experience.

This job description in no way states or implies that these are the only duties to be performed by the employee(s) incumbent in this position. Employee(s) will be required to follow any other job related instructions and to perform any other job related duties requested by any person authorized to give instructions or assignments.

Responsibilities:
  • Welcome and serve as reception to faculty, staff, parents, students, and the public. Be courteous, polite and helpful at all times when representing the Music School
  • Provide efficient and professional telephone services; transfer calls according to established protocols. Check phone messages hourly.  Log for daytime receptionist student inquires.
  • Answer public questions as appropriate
  • Provide assistance with office tasks as assigned – including:  data entry, filing, copying, and other tasks as requested
  • Complete merchant service forms for payment of tickets, tuition or workshops as requested by students or patrons
  • Assist Registrar, Finance, Executive Assistant and CEO with tasks as assigned:
  • Maintaining class waiting lists
  • Sending out information about the school
  • Assisting parents/students in completing registration forms
  • Mailing preparation
  • Copying and Filing
  • Secure the building at the close of each working day; turn off or unplug appliances and machines according to agency protocols and lock all entrances.
  • Assure the readiness of the reception area for each working day; have all front desk activities fully operational for the start of next business day
  • Fill in as requested and if needed at the office and on other shifts for events, or an office emergency, call out, vacation, etc
