POSITION SUMMARY

The Assistant Site Manager reports to the Site Manager and is responsible for facilitating the morning production line at HQ. The position is responsible for supporting the site with route coverage, phone support, and site administrative duties. This position also assists with Community Dining at assigned locations, and helps to support special events as needed. The Assistant Site Manager will also help to obtain required participant signatures and help with special projects as assigned.

KEY ROLES AND RESPONSIBILITIES

HQ

  • Set up morning production line, including team members and meal components
  • Become familiar with and utilize ServTracker, client database system
  • Support administrative needs, and provide coverage for site Administrative Assistant position, and certain Site Manager tasks
  • Fills in for the Site Manager to ensure continuity of services
  • Assists with supervising team of staff and volunteers and helps to provide ongoing training and support as needed
  • Support the phones
  • Assist in the creation of new client folders
  • Create, organize, and stage route bags and clipboards as directed
  • Attend required in-service trainings and Client Service Department meetings
  • Assist with weekly/monthly reporting deliverables as needed
  • Understand the process for following up on client concerns, including change in condition, incident reports, and referrals to the state
  • Perform other duties as assigned

Meal Deliveries 

  • Drive Meals on Wheels routes as needed
  • Verify meal counts and any special driver instructions at the start of day for assigned routes
  • Deliver meals as scheduled to assigned participants in a friendly and professional manner
  • Report change in conditions as needed through the Mobile Meals application
  • Report immediately to the site when a participant is not home, or when you have encountered an emergency situation
  • Complete incident reports and other follow up paperwork as directed
  • Deliver important materials to participants, including donation envelopes, shelf stable meals, informational handouts, menus, memos
  • Assist in training prospective new volunteers and staff members including, ride-alongs, packing/verifying meal counts, use of the Mobile Meals application, and answering questions pertaining to the driver role

Community Dining:

  • Facilitate community dining at designated site locations 
  • Greeting and welcoming community diners
  • Responsible for serving community diners their meals, documenting who received a meal, and assisting with the cleaning and sanitation of related equipment.  
  • Assists with other special events throughout Hillsborough County as needed
  • Perform other duties as assigned

EDUCATION, TRAINING AND EXPERIENCE

  • High school graduate or equivalent preferred
  • Ability to read and write required
  • Ability to work with clients, co-workers in a professional and respectful manner
  • Must acquire and maintain ServSafe certification
  • Intermediate/advanced knowledge and proficiency in Microsoft Office Suite
  • Ability to manage time and multitask effectively 
  • Ability to work independently and within a strong team environment
  • Strong work ethic and judgment, flexibility, and a good sense of humor
  • Ability to lift up to 30lbs and climb stairs
  • Automobile insurance with Bodily Injury liability coverage of at least $100K/$300K
  • Valid and current driver’s license 
  • Must be at least 21 years old
  • Acceptable background checks

HOURS, WAGE & BENEFITS

  • Full time , non-exempt position 
  • 30 hours per week, Monday-Friday 7AM-1PM
